Title:                            Program Associate
Reports To:                 Senior Director of Grants & Programs
Status:                         Regular, Full-time, Non-Exempt

Position Description: The Program Associate will provide support that guides the grant distribution process and execution of initiatives through the review of proposals, interacting with prospective applicants and electronic record keeping. This position will play a meaningful role in supporting community groups working in our main areas of community concern such as ensuring racial equity, ending childhood lead poisoning and providing funding to address key community needs.

Major Responsibilities:

  • Assist with Community Grant proposal and grant processing. Includes:
    • Working directly with people seeking grant funding to provide clarification of Foundation priorities, assist them with the application process and share feedback with them on their proposals
    • Analyzing grant proposals through written materials, site visits, interviews with other funders and relevant agencies
    • Preparing and present written and oral analyses of grant recommendations for Foundation staff, board, donors and/or committee members
    • Reviewing grant reports as part of a team and update grants database system with grant results
    • taking meeting minutes
  • Assist with affiliate fund proposal and grant processing. Includes:
    • Verifying nonprofit status and eligibility, process application documents, maintain information in grants database system
    • Coordinating with members of the Community Investment and Finance teams to ensure grants are paid timely and accurately
  • Assist with Black Equity & Excellence proposal and grant processing. Includes:
    • Verifying nonprofit status and eligibility, coordinating to add new organizations into CRM system, processing application documents, maintaining information in grants database system and council dashboard
    • Handling all meeting logistics for the BE&E advisory council
    • BE&E event planning
  • Assist with Community Engagement grant programs and events. Includes:
    • Handling logistics of Participatory Grantmaking meetings and events
    • Book and assist with logistics for tabling events, including set up and take down of displays and managing contact lists
    • Assist with logistics for Life Needs Assessment, make updates of resource pages
  • Assist the Community Investment team with implementing various Community Initiatives
  • Conduct research on issues or concerns of importance to the Community Foundation
  • Participate in activities of the philanthropic field such as conferences and meetings to enhance overall operations

Preferred Qualifications

  • Deep interest in and commitment to the Central New York area, its people and their concerns
  • Commitment to be guided in all work by the vision of diversity, equity and inclusion that has been established by our staff and board.
  • Familiarity with the Central New York area, its opportunities and challenges
  • Relevant work experience a plus
  • Ability to work both independently and as an effective team member
  • Ability to organize and prioritize work and manage multiple priorities simultaneously

Time Requirement: This is a full-time, non-exempt position requiring 37.5 hours per week. Work hours are 8:30 a.m. to 4:30 p.m. with some flexibility. Tuesdays through Thursdays are designated in-office days. Staff that choose to work a hybrid work schedule may choose to do so on Mondays and/or Fridays, dependent on management approval. Occasionally, early, late or weekend hours are required for duties onsite and offsite.

Benefits: Salary range is $41,000-$45,000. Employee benefits include health insurance, annual vacation and sick days, 12 paid holidays, term life insurance, additional disability insurance, parking, 401(k) retirement savings program with employer contribution and match, optional flex spending accounts for medical or dependent care expenses and other benefits as outlined in the employee handbook.
