Full-Time Receptionist (Syracuse)

DEPARTMENT: Marketing/Communications, Central New York Regional Transportation Authority

SALARY RANGE: Grade 2 – $34,359-$38,404

Note:  Starting salary is determined by evaluation of experience and qualifications for the position and will be set at some point between the minimum and maximum of the pay scale.

HOURS: Monday through Friday 7:45am to 4:45pm

JOB SUMMARY: Manages the front desk on a daily basis and serves as the first point of contact for visitors. Performs a variety of administrative and clerical tasks.

MAJOR DUTIES:

  1. Open/close facility daily and activate electronic messaging boards.
  2. Greet and welcome visitors upon arrival at the front desk and connect with appropriate personnel or department.
  3. Maintain office security by following safety procedures and controlling access via the reception desk (monitor visitor sign-in logbook, issue visitor badges).
  4. Answer, screen, and redirect incoming phone calls; take messages and forward as appropriate.
  5. Provide basic and accurate information in-person and via phone/email.
  6. Process online/in-person customer fare media orders.
  7. Issue parking permits and log sales.
  8. Maintain log of lost and found items and call/send letters to item owners.
  9. Receive, sort, and distribute incoming mail/deliveries.
  10. Process outgoing mail orders and UPS/FEDEX packages.
  11. Enter customer service department purchase requisitions.
  12. Maintain tidy and presentable reception area/mailroom; order front office supplies and keep inventory of stock.
  13. Send out requested customer response letters.
  14. Process requests for Senior/Disabled IDs, employment applications, Call-A-Bus applications, schedules, etc.
  15. Enter customer complaints and commendations into database.
  16. Maintain office calendar indicating who is in/out of the office, where they can be reached, and when they are expected to return.
  17. Perform other clerical receptionist duties such as filing, photocopying, mail correspondence and emails.
  18. Maintain company phone list.
  19. Perform other administrative tasks as assigned.

KNOWLEDGE/SKILLS REQUIRED BY THE POSITION:

Must have a pleasant personality, as this is a customer service role. Must be able to deal with emergencies in a timely and effective manner, while streamlining office operations. Multitasking and stress management skills are essential for this position. This role may require working in shifts, so flexibility is a plus.

  1. Proven work experience as a Receptionist, Front Office Representative or similar role.
  2. Proficient in Microsoft Office Suite
  3. Hands-on experience with office equipment (e.g., computers, copiers, and printers)
  4. Professional attitude and appearance
  5. Solid written and verbal communication skills
  6. Ability to be resourceful and proactive when issues arise
  7. Excellent organizational skills
  8. Multitasking and time-management skills, with the ability to prioritize tasks
  9. Customer service attitude
  10. High school degree; additional certification in Office Management is a plus
